Check Out Procedures for Graduating Students

Congratulations on your accomplishment! - However, before you leave Caltech, please note these procedures:

Exit Interviews [ DOC] [ PDF] and Exit Surveys

Caltech graduating students are expected to participate in an exit interview process with the Bursar's staff before commencement. This process is designed to inform students of their rights and responsibilities, furnish loan and other fiscal data, notify students of federal regulations where applicable, update information and address questions students may have regarding their personal accounts. Group sessions for students with loans are currently scheduled for May 11, 12, 13, 14, 15; and May 18, 19, 20, 21, 22 (2009) between 10am and 4pm. Should there be a time conflict and an individual appointment is necessary, please contact bursar@caltech.edu to make arrangements. Please send the date and time you are considering. You will receive an e-mail to confirm your request.

Caltech graduating students are also expected to complete the student exit survey (there are separate exit surveys for undergraduate and graduate students):

To expedite matters, please bring a completed borrower data sheet from http://bursar.caltech/loan_forms.htm with you and and complete your exit survey before your interview.

Personal Account Payment

Your personal account should be paid prior to commencement. Please note catalog pages 144-147 and 246 [http://pr.caltech.edu/catalog/] regarding transcript/diploma holds.

Personal Account Closures

Personal Accounts of the graduating class will be closed and deactivated as of July 1. Individuals remaining longer at Caltech may reactivate their UID cards as debit cards by placing funds on their card in the card office.

Statement Transactions

Some credits or charges, such as postage for mailing belongings etc., library fines, meals etc. incurred before and after commencement may be reflected on the July 10 statements.

Housing

The required "Intent To Vacate/Room-Move" form due 15 days prior to vacating your room is available in the Housing Office.Please turn in your room key and complete the Housing Check-Out Form within 5 days of vacating your room. This will save you an improper check-out fee.

Telephone Service

Your telephone service will be closed on July 1. If you will be staying on campus through the summer and need telephone service, please contact our office and we can make arrangements for you.

Mailbox Key

Please turn in your mailbox key before leaving campus. This will save you the lock change fee.

Deposit

The initial deposit that was charged to each student's personal account upon entering Caltech will be credited to his/her account after graduation. If a credit is generated and you would like to donate this amount to Caltech, please contact bursar@caltech.edu to stipulate this. Otherwise, a refund check will automatically be remitted to you. It is therefore important that we have a forwarding address on file. [address change form]
